Fresh Expo 2024 Vendor Information

The Food Show for New England Chefs & Foodies
SET UP: Vendor set up is from 1 pm – 6pm on Monday.
- Vendor Registration: Upon arrival, please go to the Fresh Expo registration table in the hallway behind the Hotel Champlain check-in counter. You must sign in before picking up samples or setting up your booth.
- Show location: Hotel Champlain 60 Battery Street, Burlington, Vermont.Parking: There is convenient city parking behind Hotel Champlain and Hotel Vermont.
- Vendor Set up Times:
- Monday 1 pm – 5 pmTuesday 6:30 am – 7:30 amTuesday 7:30 – 7:45 am: Mandatory Vendor Meeting in Adirondack Ballroom
- Samples:
- If you arranged to have samples transported to the show by BRP, you will be able to unload your items truck during the following windows.
- Dry items: Monday, 1 pm – 3pm
- Frozen, refrigerated: Tuesday 6:30 – 7:30 am
- If you do not plan to bring your own samples and need us to facilitate transporting samples to the show, you must contact Allen.Raymond@pfgc.com on or before 10.31.24.
- If you arranged to have samples transported to the show by BRP, you will be able to unload your items truck during the following windows.
- Hotel Room at BRP show rate: To book a room at Hotel Champlain at the BRP discounted show rate, please contact Kaya.Starbuck@pfgc.com.
- Ice: For Vendors who pre-ordered ice, ice will be behind the black drape directly behind the Black River Produce Booth.
- Exhibitor Space:
- Each exhibitor will have one six foot-long table.
- In general, you will want to think of building your display “up” on the table as there is no room for back tables or floor banners.
- Pipe and Drape will be behind your table so you can hang signage. (just bring your own hardware for hanging.)
- Please ensure your table has a tablecloth. If you did not bring one, please see Kyle Price as he arranged to have a limited number of spares available.
- Storage: The Green Mountain conference room (near the Original Skiff Restaurant) has been reserved for Black River Produce and vendors to keep any back-up supplies that will not fit under your table at the show. To ensure the safety of all, and the professionalism of the show, all extra boxes and supplies must be kept under your table or in the storage room only. No items may be stored in the back access hallway by the kitchens or in show floor aisles or aisles between booths.
- The Green Mountain conference room will be open for storage on Monday 11/11 from 1pm – 5pm and Tuesday 11/12 from 6:30 am – 4:30 pm.
- Electricity: If you pre-ordered electric service, it should be available at your booth. Fees for electricity are as follows: Standard Electric service: $150, 20Amp service: $250. These are fees charged by the venue and passed through to you. Deadline for adding on electric service is Friday 11.1.24 at noon. Contact Kyle.Price@pfgc.com to order.
- Kitchen Use: If you pre-arranged kitchen use, please see Kyle Price or go directly to kitchen which is located at the end of the aisle behind booth #7 and booth #17.
SHOW DAY
Vendor Meeting Monday at 7:30 am in Adirondack Ballroom.
Please have your booth set up completed by 8:45 am.
SHOW DEALS and SHOW ORDERS
- 7-week show deals are listed in the Fresh Expo Order Planner booklet.
- Show-Day-Only (pink sheet) Deals: To maximize the impact of Fresh Expo on your sales it is critical to take orders at the exact time customers are excited about your product!
- Each customer will be provided Show-Day-Only “pink sheets” to take orders on the spot.
- Encourage customers to fill out these orders for your products.
- Have your customer take a picture of the order for their records.
- Remind them that they must drop off their pink sheets with registration or with their Area Manager by the end of the show-day.
- If you need help pulling up pricing for a customer, please ask any BRP employee to call the appropriate Black River Produce sales associate.
- If you have not yet submitted show deals or pink sheet (show-day) deals, contact your buyer or Kyle Price asap. Deadline: 10/22/24.
BREAKDOWN
- Breakdown:
- Donated Food: A local food pantry will arrive at 4pm to take away all edible food.
- All other food and cardboard must be disposed of in the dumpsters on the back kitchen dock, not left on the show floor.
DINNERS
- Monday Dinner: Dinner at Hotel Vermont is for retail customers and dinner/cocktail sponsors only
- 5 pm – 8 pm @ Hotel Vermont (a 3-4 minute walk from Hotel Champlain and the Marriott Courtyard).
- Tuesday Dinner: Dinner at Hotel Champlain is for food service customers and dinner/cocktail sponsors only.
- If you would like to attend either dinner, please see Kyle Price and he will set you up with a last-minute cocktail sponsorship subject to availability. Cocktail sponsorship includes food/drink for two representatives.

LODGING
The last day to book at the Black River Produce rate is October 21, 2024. After that date, rooms may still be booked based on availability and at market rates. Please note that the Hotel Vermont and the Marriott Courtyard are next door to the Hotel Champlain.
